Void shipping labels to cancel postage charges and recover costs from carriers. Voiding a label allows you to regenerate the label with correct information or delete the shipment entirely to roll inventory back into the warehouse.
Void a Shipping Label
1Navigate to the Shipped order containing the label you want to void
2Click the Shipments tab
3If the order has multiple shipments, locate the specific shipment you want to void
4Click the Void Label button next to the shipment
5Confirm the void action when prompted
The shipping label is voided with the carrier, postage charges are refunded (if within the void window), and the order remains in Shipped status but the specific shipment is marked as voided.
After voiding a label, you have two options:
Option 1: Regenerate the Shipping Label
Use this option if you need to create a corrected label with updated information (different service, corrected address, adjusted weight, etc.).
1After voiding the label, click Generate Label on the voided shipment
2The Integrated Shipping Label popup opens
3Configure the label details:
- Select correct Service Type
- Verify or update Package Dimensions
- Confirm Weight is accurate
- Adjust any Additional Options as needed
4Click Create Label & Mark Shipped
A new label generates with a new tracking number. The order remains shipped, but now has the corrected shipping information.
Option 2: Delete the Shipment
Use this option if you need to cancel the shipment entirely and return items to inventory.
1After voiding the label, click Delete Shipment on the voided shipment
2Confirm the shipment deletion when prompted
The shipment is removed from the order, and the fulfillment returns to Picked status. The items are ready to be refulfilled or the inventory transaction can be deleted to return items to the warehouse.
Wrong Service Type Selected
Example: Accidentally created an overnight label when customer paid for ground shipping
Resolution Steps:
- Void the incorrect label immediately
- Click Generate Label
- Select the correct service type (UPS Ground instead of Next Day Air)
- Create new label with corrected service
Customer Address Error
Example: Customer contacted you with a corrected shipping address after label was created
Resolution Steps:
- Void the existing shipping label
- Update the customer's shipping address in the order
- Generate a new label with the corrected address
Package Dimensions or Weight Incorrect
Example: Label created with estimated weight but actual weight differs significantly
Resolution Steps:
- Void the label with incorrect weight/dimensions
- Regenerate the label with accurate package measurements
- Verify shipping cost matches expected amount
Duplicate Label Created
Example: Accidentally clicked "Create Label" twice, generating two labels for the same shipment
Resolution Steps:
- Void the duplicate label immediately
- Keep the correct label for shipping
- No need to regenerate if one label is correct
Customer Cancelled Order After Label Created
Example: Customer requested order cancellation after you already generated shipping label
Resolution Steps:
- Void the shipping label to recover postage costs
- Click Delete Shipment to remove the shipping transaction
- Delete the inventory transaction to return items to warehouse
- Process customer refund through payment system
Voiding Does Not Cancel Orders
Voiding a shipping label only cancels the shipping transaction with the carrier. It does NOT:
- Cancel the customer's order
- Refund the customer's payment
- Send notifications to the customer
- Return inventory to the warehouse automatically
If you need to cancel an order entirely, you must also delete the shipment, delete inventory transactions, and process payment refunds separately.
Customer Tracking Numbers Become Invalid
When you void a label, the tracking number is deactivated immediately. If customers already received shipping confirmation emails with tracking information:
- The tracking link will show "invalid" or "label voided" status
- Consider sending a manual email explaining the situation if regenerating with a new tracking number
- New labels generate new tracking numbers that must be communicated to the customer
Partial Shipments
If an order has multiple shipments and you void one:
- Only the voided shipment is affected
- Other shipments remain active and valid
- The order remains in Shipped status if other shipments exist
- You can regenerate or delete only the voided shipment
Postage Recovery Timing
Carrier postage refunds typically process according to these timelines:
- FedEx: Credits appear within 1-2 billing cycles
- UPS: Credits appear within 1-2 weeks
- USPS: Credits appear within 1-4 weeks depending on account type
Check your carrier account statements to verify void credits were applied.
